Who controls your information
The Night Vet is the controller of the personal information described here. For anything about your information, email sel@thenightvet.co.uk.
What we collect
- Your name, email address, phone number and delivery address.
- Your animals: name, species, breed, sex, age and weight, and the practice they are registered with.
- Prescriptions you upload, including the prescribing vet and practice named on them.
- Your answers to assessment questions, which may describe your animal's health.
- Your orders, requests, and their status history.
- Consultation records, where you have had a consultation with us.
Why we hold it, and on what basis
- To supply what you asked for. We cannot review a prescription or judge an assessment without the information it concerns. This is necessary to perform our contract with you.
- To meet our legal obligations. The Veterinary Medicines Regulations require us to keep records of veterinary medicines we supply, who they were supplied to, and the professional decision behind each supply. We keep these whether or not you remain a customer.
- To keep animals safe. An escalation to a vet, or a record of a previous adverse reaction, exists to protect the animal, and we rely on our legitimate interest in safe supply to hold it.
How prescriptions are stored
An uploaded prescription is stored on private storage under a random filename. It is never served from a public web address. Only authorised staff reviewing your request can open it, and every time a decision is recorded we log who made it and when.
Who can see your records
Our veterinary surgeons, Registered Qualified Persons and authorised administrative staff, and only as their role requires. Where you share an animal with someone else in your household, they can see that animal's history — but a prescription request stays with the person who submitted it.
We use third parties to take card payments and to send email. They process only what they need for that purpose. We do not sell your information, and we do not share it for advertising.
How long we keep it
Records relating to the supply of a veterinary medicine are kept for the period the Veterinary Medicines Regulations require. Other information is kept while you have an account with us and for a reasonable period afterwards.
Your rights
You can ask for a copy of what we hold, ask us to correct it, ask us to delete it, or object to how we use it. Email us and we will respond. Some records we are legally required to keep, and where that applies we will tell you which ones and why.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office.
Cookies
We use only the cookies needed to keep you signed in and to remember what is in your basket. We do not use advertising or tracking cookies. If that changes we will ask for your consent first.
How we count what happens on this site
We keep our own simple count of how the site is used — how many people looked at a medicine, started a request or an assessment, finished one, or booked a consultation. We need this to know whether the site is working.
These counts are kept on our own system and are not shared with anyone. We do not record your name, your email address, your IP address or which browser you use, and there is nowhere in those records to put them. Visits made in the same day are grouped together using a scrambled code that cannot be turned back into you or your session, and that code changes every day — so the counts cannot be used to follow you from one day to the next, or to build a picture of you.
No advertising or analytics company is given any of this. Nothing you tell us about your pet, your medicines or your prescriptions ever appears in it.
